Privacy Policy

matLearn (“the Service”, “we”, “us”) is an AI-powered study companion for students preparing for the Botswana General Certificate of Secondary Education (BGCSE) and the Cambridge International General Certificate of Secondary Education (IGCSE). This policy explains what data we collect through our mobile app and web app, how we use it, who we share it with, and what choices you have.
1. Information we collect
1.1 Account information
When you create an account we collect your email address and display name. If you sign in with Google or Apple, we receive your email and, on first sign-in only, your name from the identity provider. We do not receive your password, phone number, or any other profile data from Google or Apple.
1.2 Learning content you generate
We store the questions you ask the AI tutor, the AI’s responses, and any quizzes, notes, flashcards, mind maps, audio overviews, or other study materials you generate or save. We also store metadata about your study sessions (subjects, topics, timestamps, which lessons you completed, quiz scores, mastery levels).
1.3 Files you upload
If you attach a PDF, image, or other document to a chat, we upload it to Google Cloud Storage and use it as context for the AI’s response. You can delete attachments at any time from your library.
1.4 Voice recordings
If you use the microphone to ask a question, we send the audio to our backend for transcription using Google’s speech-to-text service. The audio is processed in real time and is not retained after transcription completes.
1.5 Diagnostic and crash data
To diagnose bugs we collect crash logs and performance data via Sentry. This includes the stack trace, device model, operating system version, app version, and a randomly assigned installation identifier. It does not include the contents of your messages or any directly identifying personal information.
1.6 Push notification token
If you grant permission for notifications, your device’s Apple Push Notification service (APNs) token is registered with our backend so we can send you learning reminders and progress updates. You can revoke notifications at any time in your device settings.
1.7 Children
The Service is intended for students preparing for secondary-school exit examinations, most of whom are between 14 and 18 years old. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child under 13 has provided us with personal information, please contact us at the email address below and we will delete it.
2. How we use your information
- To authenticate you and keep you signed in.
- To generate study materials and personalize your daily learning plan based on your progress and stated curriculum.
- To save your chats, generated content, and progress so you can return to them.
- To send you notifications about your study schedule, if you opt in.
- To diagnose bugs and improve the quality of the AI’s responses.
- To detect and prevent abuse, including rate-limit violations and spam.
We do not sell your personal information. We do not use your study content to train third-party AI models beyond what is required to answer your individual request, and we do not use it for advertising.
3. Third-party processors
We use the following third-party services to operate the Service. Each acts as a data processor under our instructions.
- Google Firebase (Authentication, Firestore, Cloud Storage, Cloud Messaging) — stores your account, learning content, and delivers push notifications.Firebase privacy policy.
- Google AI — processes your questions and generates responses. Conversations are not used by Google to train their public models.Google AI terms.
- Google Cloud Text-to-Speech — generates audio overviews from text.
- Google Cloud Speech-to-Text — transcribes voice questions you choose to record in the app.
- Sentry — collects crash reports and performance diagnostics.Sentry privacy policy.
- Apple Push Notification service — delivers push notifications to iOS devices.
4. Where your data is stored
Our backend runs on Google Cloud Platform. Data may be stored or processed in the United States, the European Union, or other regions where Google operates data centers. By using the Service you consent to the transfer of your information to these regions.
5. How long we keep your data
- Account information: retained for as long as your account is active.
- Chats and generated content: retained until you delete them or close your account.
- Uploaded files: retained until you delete them. Files may be removed automatically after 90 days of inactivity to save storage costs.
- Voice recordings: deleted immediately after transcription.
- Crash logs: retained by Sentry for 90 days.
- When you close your account, all of the above are deleted within 30 days. Some anonymized aggregate data (e.g. total quiz counts by subject) may be retained for analytics.
6. Your rights
You have the right to:
- Access a copy of the personal information we hold about you.
- Correct inaccurate information from inside the app or by emailing us.
- Delete your account and associated data. You can do this from Profile → Privacy & Security → Delete Account in the app, or by emailing us.
- Export your chats and generated content.
- Withdraw consent for notifications at any time in your device settings.
- Lodge a complaint with a data protection authority if you believe your rights have been violated.
7. Security
We protect your data in transit with TLS and rely on Firebase’s security rules and Google Cloud’s server-side encryption at rest. No system is perfectly secure; we cannot guarantee that unauthorized parties will never gain access to your data.
8. Changes to this policy
We may update this policy from time to time. When we do, we will update the “Last updated” date above. For material changes we will notify you in the app or by email before the change takes effect.
